  • Rounding Vacation Entitlements
     

    Vacation entitlements are often rounded based on labor laws or company policies. The method depends on the country and may involve:

    • Legal Framework: Some laws require rounding to the nearest whole or half-day.
    • Standard Rounding: Fractional entitlements, e.g., 1.01 to 1.49, round to 1.5 days; 1.51 to 1.99 round to 2 days.
    • Practical Rounding: Commonly, 1.01 to 1.25 rounds to 1 day, 1.26 to 1.75 to 1.5 days, etc.

    If laws are unclear, policies should be consistent, transparent, and fair, aligning with employment agreements and best practices. Always check national labor regulations.

  • Notification settings

    Detailed settings for system notifications can be customised by each user under their profile in the ME / My Profile / Interface settings section. Here you can set up all notifications according to your own needs by platform. There are a total of three:

    • email
    • mobile app
    • web app

    Example of use: You can decide that you only want to receive the absence approval request on your mobile phone, but not in the app (under the bell in the top bar) nor to your email.

  • Is it possible to create a recurring absence?
    Creating a new recurring absence is currently not possible. This functionality is only available for entering recurring activities.
     
     
  • How to delete the absence dials?

    If you decide to delete some of the Absence events, you can do this in Settings / Absence events where you click on the koš icon in the corresponding absence dial (row).

    ATTENTION, only those dials that do not have any absence events linked to them and drawn on them can be deleted!

    Instead of permanent deletion of the absence dial, you can simply deactivate it. If you ever decide to use this absence dial in the future again, all you have to do is to activate the absence dial again.

     
  • How to edit or delete working hours

    You can edit or delete working time in Settings / Work contracts setup.

    You can only edit the working time if it is not assigned to any user. You can tell by the "lockLock in the working time settings.

    If you get an error message that the timesheet is already in use, you will not be able to edit it. If you need to modify the working time, it must be unassigned from all users, modified and then reassigned back to the users.

    Deleting working hours

    You can only delete working time if it is not assigned to any user. If time sheets are assigned, they are visible in the employee's card regardless of their validity!

    In the case where a time sheet has been assigned, if events have been drawn on it and you delete that time sheet for users, you also delete all data that was linked to that event! Consider such an operation carefully!

     

  • How to enter absence for another user?

    If as Admin or Team Manager you need to assign an absence to another user, do the following:

    1. Click the New Absence button on the Dashboard or in the Absence Calendar.
    2. At the very top of the dialog box, slide the radio button to the right to Another user.
    3. Select another user from the menu and enter the absence.
  • I don't see an absence entered on the calendar
    If you don't see the absence you entered, you probably don't have it enabled in the calendar event filter.
     
    If the absence is not visible in the calendar, it is not enabled in the event filter.

  • How do I change the settings for an absence that has already been created?

    You can only partially edit an absence event with a fund once it has been created. In Settings / Absences, after clicking the desired absence, only the following items are editable:

    • name
    • note
    • whether the unused units are being transferred to the new year
    • event timeout for drawing
    • colour

    You cannot edit ❌:

    • absence typ
    • time unit of drawing
    • annual fund
    • health reasons

    Solution: if you have created an absence for vacations with an annual fund of 25 days and you would like to change this fund to 20 days for all users, you must create a new absence and deactivate the original one. The reason for this is to prevent unwanted changes to the data, which could be discarded after editing. 

    ATTENTIONDo not delete an unused absence completely, as this could also cause irreversible distortion of the data in the reports.

    If you just want to change the size of the absence fund, an alternative solution is to enter the desired size of the absence fund in the Individual Fund column in Settings / Bulk Absence Settings.

     

  • How do I edit or delete an absence event?

    Each user has the option to cancel their absence event before it is approved by an Administrator or Manager. Just click on the absence detail (vacation, doctor, etc.) in the calendar and then click the red cancel button.

    After the event is approved, the user can still request to cancel the absence.

     

    This applies only to absences that have yet to take place. Events that have already taken place can ONLY be changed (deleted) by the Administrator. You can use the Note in the event details to inform the Admin. Alternatively, use the mentions to alert the Administrator to your comment.

     

     

  • Absence balances are off when working hours change

    If you want to set new working hours, it is recommended to end the existing working hours and set new ones accordingly

    If the working hours are changed retrospectively (e.g. you want to set new working hours for someone, but you do not terminate the current one and instead delete it and create a new one with an effective date that starts in the past), this affects the calculated absence balance.

    Absence balances are calculated at the time the report is created, so changing the working hours retrospectively will cause the absence balances from already drawn absence events to change, which is undesirable in most cases! 

    The second reason for this recommendation is to maintain an orderly history of changes in contractual relationships with each user.

  • How do I change the visibility of absences for everyone in the company?

    You can turn absenteeism events visible across the firm on or off in Settings / Other / Application Settings. Here you check Company-wide absence events are visible to everyone.

  • Buttons in mail notifications don't work

    I got a notification, but the buttons don't work. What should I do?

    Depending on the mail settings on your computer, the click-through buttons may not work as they should. In this case, use the links located in the footer of the email notification.

  • How to postpone public holidays from a weekend to a working day?

    Learn what to do when public holidays in your country move from the weekend to a working day.

    There are countries where if public holidays fall on the day or days of the weekend (Saturday or/and Sunday), the holiday shall be observed on the following working day or days (Monday and Tuesday). How to take care of this in Sloneek?

    Basically, you have got two options:

    1. Create an annual working hours type. With this type of working hours, you have an option to select which days are working days and which ones are not. However, this approach can be time wasting because you need to go day by day for the whole year. 
    2. Create a new absence of type Free time. Call it e.g. Postponed public holidays, set it up without any annual fund and assign it to your users. 

    We prefer the second solution because all you have to do later is to publish a new announcement on the dashboard to tell your users to enter this absence into their calendars for specific dates.

    When they do it, you just approve all requests it in bulk. If you do not trust your users (🙂), you may also enter this absence for them yourself. 

    Case:

    You operate in Albania, Europe. According to the law, when the public holiday(s) fall(s) on a weekend, it is automatically moved to Monday and Tuesday. This case occurs on 31 Mar 2024, which is a Saturday. Therefore, the public holiday moves to Monday (2 Apr).

    1. Create a new absence Postponed public holidays as instructed above. 
    2. Assign this absence to users operating in Albania.
    3. On the dashboard, post an announcement for your Albanian colleagues with a similar message: Dear colleagues, please all of you enter the Postponed public holidays absence into your calendars on 2 Apr 2024. 
    4. When your colleagues proceed, go to the Approvals section and approve all awaiting requests in bulk.
    5. Repeat if there are more moving public holidays in a given year.
  • Where can I find my absence (vacation) balances?

    For all basic user roles User, Team Manager, Administrator, absence or vacation balances are available:

    • on the Dashboard

    • USER (regular user/employee) can only see their absence events and related information.

    • MANAGER can see not only his own events, but also events belonging to all subordinates for whom he approves absence events within the structure.

    • ADMIN sees all absence events and all related information.

  • Can I plan my absences for the next year?

     

    If you see a zero in your absence balances for this year but you wish to plan and add your absence for the next year, rest assured that you can comfortably do so. System will automatically calculate with the fund for the next year and the absence will be drawn off it.

     

     

  • Cannot enter the absence event

    If you see the notification "The specified interval does not contain any working days", it means that your working hours are not set correctly, or your working hours miss the setting for the days in which you are supposed to work.

    If you are common User, please, contact the administrator of your account.

    If you are an Administrator, check the working hours settings, the assignment of working hours to a user, and the user's absence settings.

     

  • How to set a time limit for entering absences?

    Do you need to set it so that users can only enter absences into the system with a certain amount of time in advance? Or do you want to allow back-entry, but only until a certain time after the start? Sloneek allows this feature.

    Go to Settings / Absence and create a new absence, or edit an existing absence. In the dialog box you will find a checkbox called Event timeout:

    Check the box and then just set the slider to the desired value and save.

  • How to delete the break in your working hours?

    If you need to delete a break in your working hours, it is important to meet the following two conditions:

    1. The working hours you are trying to edit must not be assigned to any user. If it is assigned, it will be locked and cannot be edited. You can tell when your working hours are locked by seeing the lock icon next to their settings: What should I do in this case? See the instructions here for inspiration.
    2. You need to delete both times in the Start of the 1st pause and End of the 1st pause columns. Don't be discouraged by the error messages that first pop up when you clear the time in one of the columns:

  • Is it possible to record work for more than one working hours at the same time?

    At present, it is not possible to record work separately for two concurrent working hours (e.g. a combination of two part-time works). Sloneek only allows you to record work for one working hours.

    If you needed to record work separately, you would need to upload one user to the system twice under two different email addresses. Depending on which working hours the user needed to record work or absences, they would log in under a specific account.
