    Our new Reviews tool streamlines the process by automating feedback collection, standardizing evaluation, and providing structured reports and analysis. This feature provides clear, actionable insights that support personal development plans.

    Feedback review creation

    The creation of the feedback review is divided into few sections:

    1. Review setup
    2. Timeline setup
    3. Questionnaire Creation
    4. Launch

    Feedback review setup

    The first step in creating a new Review feedback survey is its main set up, including naming, targeting, feedback types, and participant selection methods. This part is done by Administrators.

    Simply navigate to the Review section under the Company area and select + Create to start creating new feedback review.

    On the first page you will focus on filling in the below.

    1. Basic settings:

    • Review name: define how you want the review to be named
    • Anonymity toggle: define whether you would like to create anonymous/non-anonymous review

    2. Feedback types:

    Here you will select what kind of feedback you want to collect from the users:

    • Self-review (Employee evaluates themselves)

    • Downward feedback (Manager evaluates their subordinates)
    • Upward feedback (Employee evaluates their manager)
    • Peer feedback (Peers evaluate each other)

    3. Targeting:

     Here you can select the target audience:

    • Whole company
    • Selected teams
    • Selected locations
    • Selected users
    • Selected tags

    4. Feedback providers:

    In this part you will select who will be selecting the actual raters.

    • Manager assigns raters (you will get the list of all managers based on your org chart, you can unselect any manager as per your needs)
    • Administrator assigns raters (you will get the list of all users with the admin role, you can unselect the ones who should not be chosen)
    • Participants choose raters

    5. Raters

    This gives you options to define the range of number of raters per one user being reveiwed.

    • 3-5
    • 5-10
    • 10-15
    • Custom number of raters

    Timeline

    The basic settings are ready and now let's define the timeline for the feedback review with the key dates and set up automatic reminders.

     

     

    Timeline

    • Deadline for selecting feedback providers - before you have appointed someone to choose the raters and this is the deadline for them to choose them
    • Feedback collection start date - date when the feedback review starts
    • Feedback collection end date - date when the feedback review ends

    Reminders

    • Send a reminder before providers selection deadline - turn this on if you want the automatic reminders to be sent to the selectors of raters to remind them to finish the selection
    • Send a reminders before the end of feedback collection - turn this on if you want the automatic reminders to be sent to all who should complete the feedback review

    Questionnaire

    In the third part you will get to the creation of the questionnaire itself. Use AI to help you with that or create the questionnaire manually from scratch.

     

     

    If you decide to use AI, just click on Create with AI, write an assigment and wait till the magic happens. If you prefer to do it your way, click on Start from scratch.

     

    Scale Settings

    The first par would be to set up the rating scales that will be used accross the whole questionnaire.

     

    You can choose between several scales, up to 10 or create a custom one.

    Once the scale settings is completed, let's move to the Instructions.

     

    Note: The N/A option is always included in the selection.

     

    Instructions

    In this section you will put the your customized instructions that will appear at the start of each questionnaire and instruct the raters what to focus on and how to fill it in correctly.

    Well-crafter instructions help raters:

    • understand how to use rating scales consistently
    • focus on objective, measure-based feedback
    • maintain confidentiallity standards

     

    Note: all changes are AUTOMATICALLY saved so you do not need to worry that you would loose your draft!

     

    Evaluation sections

    Now to the very key part which is the questionnaire. In the Evaluation section you will be adding the the evaluate areas and the evaluation questions. 

    Just add the question, feel free to add its description and choose the answer type and if it's required to answer or not.

    Based on the questionnaire, you will see the Estimated Time in the top right corner.

     
    Time estimation to complete the questionnaire is based on the number and types of questions. This information can help you to optimize the survey and prepare appropriate communication for all participants.

    Perfect! Now that you have the questions ready, let's move to the final part - Launch!

    Launch

    The last step give you the summary of all the settings and configuration that you have set up and it allow you to review it. If any changes required, just go back to appropriate section and adjust it.

    Is everything ready? Amazing, let's Launch it! Just click on the the play button called Launch.

     Feedback review dashboard

    Once the feedback review is launched, you can check it's whole progress on the dashboard.

    The dashboard offers you the completion rate for:

    • rators selections
    • feedback collection
    • reports approval
    • reports delivery

    Feedback review: raters selection

     In this part, the selected Target group should select the Raters. 

     

     Previously, we could have chosen between three categories of the Selectors:

    Administrator

    Admins can select the Raters themselves or even override nominations in the 'Raters' tab.

    Manager

    If managers are the Selectors, they will receive a notification and will navigate to Me/My review section and select the Raters

    Target group

    Any other chosen Selectors will also receive a notification and process it the same way as Managers (navigate to Me/My review section and select the Raters)

     

     

    Once all the Selectors choose the Raters, the participants will be marked with the green tick sign.

     

    Or you can check the completion rate. 

    Please note that unless it's 100% completed, the feedback collection cannot start.

    Feedback review: feedback collection

    Once the raters selection is completed, the second part is opened - feedback collection. It starts on the start date (does not start unless all raters are selected) and you can check the stats and the collection progress. 

    The administrators can extend the deadline if required.

    If you open the stats, you can check the progress in detail and also remind some of the raters to complete the feedback.

    Feedback review: completed review, reports of results, reports approval and delivery

    Once the feedback is completed and it comes to its end date, Reports approval is required. You need to assign the reports for review and approval either to the Team Managers or to the Administrators.

     

    Now, let's check the Results and the Report!

    Go to the 'Results' section.

    In this section you can check:

    • overal rating
    • total responses
    • completion rate
    • AI key insights

    For detailed results of each user, simply click on their name to open their statistics. For each user you will get very complex and detailed feedback review showing the AI summary and insights, the Top strenghts or Areas to improve, visual charts and detailed feedback of all areas.

     

     

    Note: Eventhough the AI creates the summary and Insights, the Report Approval has the opportunity to review the summary, adjust it as required and then approve it. This means that the results are always doublechecked and the final approval given by the actual human. 🤓 You will be able to see the history of approval at the end of the page.

    And there we go! The Final reports delivery. All approved reports go to users so that they can check their own results, celebrate their strenghts and work on the areas where improvement is needed.
