Billing period and licence payments
Learn how Sloneek calculates licence payments.👇Only ACTIVE users are charged (so they can log in to Sloneek). You don't pay anything for inactive users, but their data is still stored in the app.
When does your license get charged?
After the end of the trial period (14 days), the monthly fee period starts.
Example:
The trial period ended on 9 January. After a month, i.e. on 10 January., the card will be charged for the number of active users during the period (1/10 - 2/10).
How is the number of active users calculated?
Sloneek counts all users who have been activated in a given month in the monthly billing. The minimum number of user licenses is 10, regardless of whether these licenses will be used or not.
If you add new users during a billing period, you will be prorated for those users as follows, depending on the license type:- Example for monthly card payments:
Your billing period is set from 1 May to 1 June. You have 20 active users in the app, you have the Professional package and you pay EUR 120. On 10 May you decide to add 5 more active users and increase the number to 25. The change is effective immediately and at the beginning of the next billing period (1.6.) you will be charged the amount for the next period + the pro-rata amount for the 5 added users in the period just ended. This pro-rata amount is calculated for the period from 10 May when you added the users until 1 June.
- Example for annual billing:
Your billing period is set from 1 January to 31 December. You have agreed on a price of 6000 EUR per year for 100 active users. You decide to add another 50 users since July. Therefore, on 1 July you will be issued an additional invoice for the pro-rata amount for the 50 active users from 1 July to 31 December.

What about the data transfer when moving from the trial to the paid version?
You have nothing to worry about. All the data you upload to the app during the trial period will remain in the app even after you upgrade to the paid version.
When is the licence fee charged?
Currently the card is charged automatically at the end of the billing period (i.e. on 10.2. you pay for the period from 10.1. to 10.2.).
Please note: As of 1 June 2023, licence payments will now be deducted in advance, i.e. at the beginning of the billing period. We are thus switching to the market standard.

How do I change the number of active user licences?

To change the number of users you are paying for, simply go to the Invoices and Billing section and click Manage seats. Then just increase or decrease the number of users. The system will automatically calculate the new price for you.
If you increase the number of user licences, the change is effective immediately and is calculated as follows:
- 6/1/2023 - you pay 80 EUR for 10 active user licences in the Professional package (price 8 EUR per user).
- 6/15/2023 - you decide to increase the number of licences to 15 users, your active licences will immediately increase to allow you to add users.
- 7/1/2023 - you pay 120 EUR for the next month + pro rata for 5 users for 15 days in June.
If you need to reduce the number of licences, the change will take effect from the next billing period and is calculated as follows:
- 6/1/2023 - you pay 120 EUR for 15 active user licences in the Professional package (price 8 EUR per user).
- 6/15/2023 - you decide to reduce the number of licenses to 10 users, your active licences remain at 15 users until the end of the billing period.
- 7/1/2023 - at the beginning of the next billing period, the change will take effect and you will only pay EUR 80 for 10 users.
Note: You can never reduce the number of seats below the current number of active users in the application. In other words, if you have 15 active users and you want to reduce the number of seats to 10, you must first deactivate the selected 5 users (in the Users / User List section), and only then can you reduce the number of seats to less than 15.
Please also note that deactivating users does not automatically reduce the number of paid seats! Therefore, after deactivating users, if necessary, adjust (reduce) the number of seats according to the instructions above in the Invoices and Billing section.
How to proceed with annual invoicing?
If you need to change the number of users on an agreed annual billing, please contact our sales team who will deal with your request. 😊
If you add additional licences within a given 12 month period, you will be incrementally invoiced until the end of the license (last day of the last month) based on the number of months remaining in the license.Example: licences added from 1 July will be invoiced 6 months in advance until 31 December.

Billing information
Set up billing information, downloadable invoices, contacts for sending invoices.
To make sure all the future payments proceed smootly, please fill in your Billing information in Reports and Settings / Settings / Invoices / Billing. You may also securely add your card details to speed up future operations. Rest assured, we DO NOT store your card information.
In the Billing data section, you also have the option to add the email address of the person who is responsible for invoices in your company. All invoices will then be sent to the company's main contact email (which you can also change from this section) and the newly added address.

If you pay for licenses by credit card, you can find downloadable invoices on the Invoices tab, accessible from Reports & Settings / Settings / Invoices and Billing.

Overview of the current licence and invoices
Information on your current licence can be found in Settings / Subscription / Invoices and Billing.
Monthly payment by card
If you pay monthly by card, you will see three tabs in the Invoicing and Billing section: Overview, Licence and Invoices. In the Overview, you will find information about the type of package (Essential or Professional), the price per user, the total amount due for the current billing period, and the next payment date.
To get a detailed overview of invoices, click through to the Invoices tab. You have the option to download all the invoices as pdf files from here, too.

If you encounter an error called "Company licence has been deactivated", make sure to check whether you have entered your credit card into the app. You may add your card in the Settings / Billing section and thus, activate your licence. If you have agreed on paying by invoices, please contact our support team to fix this issue.
Annual subscription
If you have agreed to annual or billing, again, you are billed before the start of the period. You will then find two tabs in the Invoices and Billing section: Overview and Invoices. In the Overview you will find information about the total price to be paid for the annual use of Sloneek and the date until which your license is valid. At the same time, you can also see what all modules you have activated. You can then edit your billing information below or set up the email addresses we will send invoices to.

Deactivating / deleting your account
If you decide to stop using Sloneek for any reason, you have two options:
- You can temporarily deactivate your account if there is a chance that you will start using it again in the future.
- You can delete your account once and for all.
In both cases, however, it is necessary to contact Sloneek support, who will deactivate or delete your account from the admin interface.
In case you deactivate an account that has an active license, the last payment will be charged at the end of the current billing period.
